How to Use the Network

Welcome to The York Actor's Network — a shared events calendar for York's acting community. Here's a short tour: first as an actor, then as a producer.

1 Signing in

Press the Sign In button in the top corner and sign in with your Google account — your university email works perfectly. Signing in is what lets you register your interest in events and post your own. There's nothing else to set up.

2 Finding your way around

The calendar can look busy at first, but the filter bar tames it. Every category has a chip along the top: click one to hide that category, then click it again to bring it back — or press Show all to reveal everything at once.

There are seven categories — tap one to see what it's for:

3 For actors — auditions & registering interest

Auditions are the heart of the site. A producer posts a notice for a show and lists the roles they're casting. To put yourself forward, open the event, tap the role you're interested in, type your name, and press Register. The producer is sent an email letting them know, and they'll be in touch about the next step.

Do read the description carefully — producers often add audition instructions there (what to prepare, where to find the sides, and so on). You can also register interest on non-audition events; that simply shows your name so others know you're coming — no email is sent for those.

4 For producers — posting an event

Ready to post something? Either click the day you want on the calendar, or press + New Event. Fill in the event box: choose a category, give it a title, and set the date(s) and time. A description is strongly recommended — it's where actors learn what they're signing up for, and where you add any audition instructions. You can also attach a thumbnail image, a ticket link, and links to the other audition tools you use.

5 Parts, casting & who gets the emails

If your event needs people in specific roles, add them as parts. In the event form, type a role name, an optional short note, and an optional cap, then press + Add Role — repeat for each part. On the live event these appear as cards actors can register for. Afterwards, on the event's Casting tab, you record who's been cast — pick from the people who registered, or type in anyone by name (handy if the audition happened elsewhere). You can also lock a role to stop further sign-ups.

One important thing about emails: interest notifications are sent to whoever created the event. So for a production, the person who should be fielding those emails is the one who should create it. Agree as a team who that is before you post, so notifications don't land with someone who wasn't expecting them.

6 Fitting the Network into your existing setup

Already using CastingBot, audition packs, an Instagram page or a Linktree? Keep them. The Network is built to sit alongside the tools you already use, not replace them. When you post an event you can add discreet link buttons for any of these, so the calendar becomes the one place people look — and taps through to wherever you actually run things.

Go as light or as deep as you like: some societies will just post a notice with a CastingBot link; others will use the built-in roles, registrations and casting. Either way, the Casting tab lets you record your final line-up here — even for actors who auditioned through another system — so there's one public record of who's in the show.

7 The suggestion box

This is a new site and it will keep growing. If you have an idea to make it better — or you've spotted something broken — pop it in the Suggestion Box and vote on the ideas you'd most like to see.
